Job Description and Duties

The Department of Business Oversight is recruiting for one permanent, half-time Office Technician (General) position in the Division of Administration, Business Operations Office located at the Los Angeles location.  This recruitment may be used to fill subsequent vacancies of these positions in DBO within the next 180 days.

Under the general supervision of the Business Services Officer I (Supervisor), incumbent performs the following functions:

Mailroom:  Processes mail for the Los Angeles office.  This includes opening, date stamping, reviewing, sorting, and delivering/picking up from departmental staff.  Prepares outgoing mail for US Postal Service, United Parcel Service and overnight courier. Operates mailroom equipment such as postal machine, scale, meter, power letter opener, folder/inserter machine and address printer. Maintains mailroom equipment and supplies. Prepares documents for mass mailings and maintains mass mailing supplies.

Property Management:  Follows policies and procedures implemented by the BSO I and the Property Officer related to property management and monitoring compliance in the Department’s Los Angeles office.  In coordination with the Property Officer, conducts physical equipment inventories; maintains inventory control utilizing the department’s Mobile Asset property database; ensures of the appropriate disposal of surplus property; prepares survey and transfer of location documents as needed; receives and completes the New Property Receiving Form; places department asset tags on equipment; prepares various reports (e.g. copier usage report).

Supply Management:  Coordinates the ordering of envelopes and miscellaneous forms as needed for the Los Angeles office and for the department statewide.  Ensures that business reply mail funds are maintained.  Orders supply items as needed for the purpose of maintaining an adequate amount for issuance to department staff, including conducting supply inventories, maintaining record keeping systems, preparing supply requisitions (Form 5s), stocking shelves and distributing supplies to staff in the Los Angeles office.

Facilities/Telecommunications:  Provides support and assistance to tasks in areas of facilities, telecommunications, keys, keycards, department IDs, Building IDs, Safety and Security, and conference room reservations.

Receiving: Performs receiving functions in the Los Angeles office, including receiving incoming furniture, equipment and supplies. Signs for and receives items; checks shipments against packing slips and purchase-order documents; checks shipments for discrepancies, including proper quantities, items that may be damaged, and incorrect items shipped.

The DBO supervises the operations of state-licensed financial institutions, including banks, credit unions and money transmitters. Additionally, the DBO licenses and regulates a variety of financial service providers, including securities brokers and dealers, investment advisers, payday lenders and other consumer finance lenders.
