Under the general supervision of the Staff Services Manager I, the Legal Secretary shall provide a variety of legal secretarial support and high-level administrative support to Attorneys in the Legal Division and Legal and Audits Branch. The function of the Legal and Audits Branch is to advise and represent the State Superintendent of Public Instruction, the California Department of Education, and the State Board of Education, and its members, on legal matters.

Legal Secretarial Support: Preparation of the most complex and confidential legal correspondence and documents as assigned by five or more Attorneys. Assignments will include preparation, filing and service of pleadings in multiple jurisdictions, including federal, state, and appellate courts and/or Administrative Hearings; copy and assemble exhibits and discovery documents; generation of tables of authorities; citation and quoted text verification. Ensure all documents are prepared and formatted using the appropriate style guidelines.

Office Procedures: Independently develop and maintain confidential and administrative files of assigned Attorneys and other staff as requested. Coordinate and schedule court-related activities including scheduling status conferences, scheduling witnesses and depositions, and making arrangements for court reporters as necessary. Track progress of court proceedings; responsible for filing necessary documents in accordance with court timelines; responsible for maintaining thorough working knowledge of legal processes and procedures, research materials and resources; maintain confidential and administrative files of assigned attorneys and other office staff. Make travel arrangements and prepare travel reimbursement claims; set up meetings; prepare and calendar progress of court proceedings, being responsible for filing necessary documents in a timely manner ensuring that deadlines are met; interact with courts, administrative agencies, governmental entities, co-counsel, opposing counsel, and/or witnesses.

Public Contact: Receive and screen visitors and telephone calls; based on knowledge of the department, independently direct questions to the appropriate person or office; answer general or routine questions regarding the Education Code and/or the California Code of Regulations.

Other Responsibilities: Serve as a back-up resource for other administrative staff and other duties as assigned.
