Job Description and Duties

Under the direct supervision of the Office Services Supervisor I, the incumbent will perform clerical support while assisting OSU staff with reception desk coverage, filing and record maintenance, office mail delivery and copy work assigned to the Unit. Possession of a valid driver’s license of the appropriate class issued by the California Department of Motor Vehicles is required. Required to drive a State vehicle and participate in the Employer Pull Notice (EPN) Program (SAM Section 0751). 

The following duties may vary depending on the work flow of the Office Services Unit.

  • Provide records maintenance assistance, which may include filing, providing support for other units with mail merging, mailing bulk mail in a timely manner, making new folders, and repairing existing files. Provide filing and maintenance of Status Determination (SD) Binders.
  • Provide reception desk coverage, which includes answering/screening telephone calls, taking messages and directing calls to the appropriate staff; greeting and directing visitors; scheduling reserving conference rooms and vehicles; receiving overnight, express, registered and certified mail and maintaining appropriate logs.
  • Perform copier work and document assembly and binding as assigned. Deliver boxes and packages to Agency divisions.
  • Process incoming and outgoing mail, assist staff with individual mail service requests and/or questions. Log all checks received in mail and prepare transmittal to Accounting Office.
  • Perform outside messenger services as needed delivering and picking up documents from various State agencies in the downtown Sacramento Area. Maintain inventories of selected high use items such as copier paper for use by other units. provide other units with assistant in their absence, Miscellaneous typing support (labels, document listing etc).
  • Required to drive a State vehicle and participate in the Employer Pull Notice (EPN) Program (SAM Section 0751).

Working Conditions

  • Able to lift and transport boxes up to 40lbs.
  • Prolonged periods of standing, bending or sitting
  • 8:00 am start time preferred some days and weekly hours vary between 8:00 am and 5:00 pm Monday through Friday with an average of 20 to 25 hours required per week
  • Off-site deliveries and/or pick-ups which may require operation of a car as needed
  • May require reaching, twisting, turning, kneeling, bending, stooping, squatting, and making repetative hand movements in the performance of daily duties
  • Daily use of phone, copiers and general office an communication equipment.
